I have received an invitation to activate my account from no-reply@prisma.rva.nl. Is this invitation right?

Yes, this email is correct and reliable.

How can I get an invitation for an account in the Reporting Tool and a username and password?

The Customer administrator within your organisation can add you to the subproject. Once you have been added you will receive an invitation in the mail. Please note that the invitation is only valid for three days. You can enter the login name and password yourself. After three days, you can request for a new activation link on the login screen using the ‘forgot password’ button, or ask the Customer administrator to send a new activation link.

Are you a new RvA customer and has no one within your organization worked with the PRISMA Reporting Tool before? You will receive an invitation from your PCA as soon as the first subproject is ready in the PRISMA Reporting Tool.
Please note: the invitation is only valid for three days. You can set the login name and password yourself.

Will I receive a login name and password?

No. You will receive an e-mail with an activation link/invitation from noreply@prisma.rva.nl to log in. After you have clicked the link, you can set your own login name and password.

The link in the invitation link does not work. What should I do?

The invitation is only valid for three days. After that it will no longer work. Your PCA can send you a new e-mail with an invitation link.

When I log in, I see a Dutch login page. However, I want to use an English login page. How do I get to the English login page?

There is no language switch available on the login page. First log in via the Dutch log in page and then set your language in the Reporting Tool to English. Click on ’Go to English’ on the below left side of the page. The next time you log in, the login page will be in English.

Everytime I log in, I have to enter a code that I receive by email. Why is this?

As of 31 July 2022, an additional layer of security has been added to logging into the Reporting Tool. We call this 2 Factor Authentication (2FA). By using an extra code, we make account abuse  by third parties more difficult.

Our RvA Customer administrator, who is the only one working in the Reporting Tool, is (temporarily) absent. What should we do?

The Customer administrator can create new client administrators and client users in both the Reporting Tool and the Application Tool. This way you can arrange your replacement yourself. Has the customer administrator of your organization been unable to create an account for you due to circumstances? Please contact your PCA
(or if you are a new customer, contact nieuweaanvragen@rva.nl).

Is it possible to have multiple users for one account in the Reporting tool? For example, if a customer has multiple registrations with the RvA.

Yes, the PRISMA Reporting Tool and ApplicationTool both offer the possibility to create customer administrators and customer users. You can adapt this to your own preferences. Note: there is always at least one Customer administrator

Browser, URL and hardware

After creating the login name and password, nothing happens at the login screen. What do I do now?

This is a common complaint when people use Internet Explorer. The Reporting Tool is not usable within Internet Explorer. Only Chrome, Firefox, Safari and Edge support this application.

Does the Reporting Tool and Application Tool work in any browser?

No. Only Chrome, Firefox, Safari and Edge support the Reporting Tool. Internet Explorer does not work.

I don’t know how to get to the login page of the reporting tool. Where can I find it?

The correct link is https://prisma.rva.nl.

Does the PRISMA Reporting Tool and Application Tool work on a tablet?

Yes, the PRISMA Tools also work on a tablet, provided the correct browser is used of course.

Working with the Reporting Tool

After submitting our response to the NCs, how can I see what we have entered and whether the attachments have been added correctly?

The overview of non-conformities leads to the NCs. Click on the eyeled behind the NC. Here you can always see what has been entered and which attachments have been added.

I have problems uploading Corrective Action Reports (CARs) into Excel. How do I solve this?

The file probably has an extension of . xlsm or similar. The Reporting Tool will not recognize the file. If your RvA client representative saves the file as a Zip file and then uploads it, it will work.

Is it true that I no longer see the completed projects and the documents uploaded in that project?

As soon as your PCA closes a sub-project, the sub-project can be found via the subprojects page. Then click on the button: Completed (subprojects). The documents are currently deleted after one  year.

How does the Reporting Tool handle the security of my documents?

All uploaded documents are stored encrypted in the cloud, on servers within the European Economic Area (EEA). In addition, they are deleted one year after the conclusion of the sub-project.

There is a malfunction in the Reporting Tool, what should I do now?

Unfortunately, it happens that the Reporting Tool does not work as it should. You can contact your PCA in this case. If the malfunction is due to a known problem, the PCA can provide you with more information. If you are the first / only person with a problem, the PCA will undertake action to solve your problem.

I am using the Reporting Tool according to the RvA’s instructions, but I have a suggestion on how the tool could better support my work. Who can I submit my improvement proposal to?

Thank you for your contribution to the development of our applications! You can send improvement proposals to your PCA. PCA’s send the improvement proposal to the PRISMA Key-user group, who will assess and prioritize your idea.

How does the PRISMA Application Tool handle the security of my documents?

There is a failure in the Application Tool, what should I do now?

Unfortunately, it does indeed happen that the PRISMA Application Tool does not work as it should. You can contact nieuweaanvragen@rva.nl for this. If the malfunction is due to a known problem, the employee can provide you with more information. If you are the first/only one with a problem, the employee will take steps to (have) your problem fixed.

How much time will it take me to learn how to work with the Reporting Tool?

This varies from person to person. The RvA gives short training sessions via Microsoft Teams on request. You can request a training via your PCA.
